Terms of Service

Ref Grid is a web application for managing sports officials, assigning them to games, communicating those assignments by text message and email, and tracking the responses that come back. We provide it as a service and may improve or change it over time; we will not remove something you depend on without telling you.

You are responsible for your login credentials and for what is done with your account. Tell us promptly if you believe someone else has access to it.

You may give other people in your organization their own logins. What they do with the account is your responsibility as much as your own actions are.

Your schedules, your officials and everything else you enter remain yours. We hold them to provide the service and handle them as described in our Privacy Policy.

You confirm that you are entitled to provide the contact details you enter, and to send the people they belong to messages about the games you assign them. When you send assignments, you are instructing us to contact those officials on your behalf.

Ref Grid is sold as a single plan, at $15 per month or $129 per year, following a 14-day free trial. Prices are in US dollars and do not include any tax that may apply.

Starting the trial requires a payment card. Nothing is charged during the trial. When it ends, the billing period you chose begins and your card is charged, unless you cancel before the trial ends.

The plan includes:

• unlimited games and assignments;
• 2,000 SMS segments per year (a long text message can use more than one segment), and email notifications without a set limit.

If you expect to send more text messages than the plan’s SMS allowance covers, contact us and we will sort out an arrangement that fits.

Subscriptions run for the period you pay for and continue until you cancel. You can cancel at any time and keep access until the end of the period you have paid for.

You agree not to use Ref Grid to:

• send messages unrelated to officiating assignments, including marketing;
• contact people who have not agreed to hear from your organization;
• attempt to access another organization’s data, or to probe or disrupt the service;
• break the law, or a sports body’s rules, using the service.

We may suspend an account that is doing any of these, and will tell you why.

An official who receives assignments through Ref Grid can recommend it to another league, club or organization, by sharing their personal referral link or by asking us to send one email on their behalf. Taking part is optional.

We pay the official $25 when an organization they referred becomes a paying Ref Grid customer. The organization has to be new: it must create its Ref Grid account after following the official’s link, and then start a paid subscription. A free trial on its own does not count. We pay rewards by hand, by a method we arrange with the official.

A referral does not qualify if:

• the organization already had a Ref Grid account;
• the official is an owner or administrator of the organization they referred;
• it was made in bulk, with automated tools, through fake or duplicate accounts, or otherwise to collect a reward rather than to recommend Ref Grid to someone.

Each organization earns one reward at most, and only one official can be credited for it: the first whose referral link was used before the organization was created. Referring the same organization again does not earn another reward.

Use the referral feature only for genuine, person-to-person recommendations. Send referral emails only to people you know or work with who might want to hear about Ref Grid. Do not use it as a mailing-list tool, submit addresses automatically, or send to lists of people. Your recommendation is your own: do not present it as coming from a league or organization you officiate for.

Before paying, we may ask for information to confirm a referral, and we may take a reasonable time to look into one that appears to break these rules. If we decide a referral does not qualify, we will tell you why.

We may change the reward or end the program. Changes apply only to referrals made after we post them on this page: a reward you have already earned under the terms in place at the time stays earned.

We work to keep Ref Grid available and messages moving, but we do not promise it will be uninterrupted or error-free, and delivery of a text message or email ultimately depends on carriers and mail providers we do not control.

Treat Ref Grid as a tool that helps you run a schedule, not as a guarantee that every official has read every message. The service shows you what was sent and what came back so that you can follow up on what did not.

To the extent the law allows, the service is provided as is, and we are not liable for indirect or consequential losses — including games gone uncovered, missed assignments, or lost revenue. Where we are liable, our total liability is limited to what you paid us in the twelve months before the claim.

Nothing here limits liability that cannot be limited by law.

You can cancel your subscription whenever you like. Cancelling does not delete your data; to close your account and have its data deleted, write to us. We may end the agreement if these terms are seriously or repeatedly broken, or if we stop offering the service — in which case we will give you reasonable notice and, if you ask, a copy of your data.

We may update these terms. If a change materially affects you we will tell account holders before it takes effect, and the date at the top of this page will change.

These terms are governed by the laws of the State of California, United States.
