Tournament days

Match by match, or court by court

A pool on Court 4 might play six matches in a morning, each as long as its sets take. There are two ways to put that morning into Ref Grid, and the choice decides how many messages an official gets and how the fee works.

One game per match

Each match is its own game with its own teams, positions and fees, so pay follows the matches actually assigned. Each assignment is its own message, so a first referee on six matches gets six texts or emails, each with an accept and decline link.

Give each match an end time, such as the start of the next match slot. A match with none is assumed to run 120 minutes, so an 8:00 match looks as though it runs to 10:00, and keeping the same referee on the 9:00 match is flagged as an overlap.

One game per court block

Enter the morning on Court 4 as a single game from 8:00 to 12:30, with “Pool C” in the team fields. The officials get one message for the block and one fee for it. You lose the per-match detail, including a change notice when one match moves to another court.

A weekly rec league night on two courts can be set up the same way, or match by match if officials are paid per match.

Positions, courts and fees

First and second referee

Every new match starts with First Referee and Second Referee. Remove the second referee for a rec match worked by one official.

Line judges and scorekeepers

Ref Grid suggests Line Judge 1, Line Judge 2, Scorer and Libero Tracker when you add a position, and adds none of them for you. Use them on the matches that have them, up to 12 positions in all, or name any other table role your event uses.

A fee on each position

A first referee, a line judge and a scorekeeper can each carry a different fee on the same match. The pay report covers accepted assignments whose first serve has passed, and exports as CSV or QuickBooks Online bills. Ref Grid pays no one.

The court in the location

Write the location as officials will look for it: “Summit Fieldhouse, Court 4”. Saved locations are suggested as you type, and the board filters by location, so you can check one court at a time.

Work teams.In some club events, teams officiate other teams’ matches. Ref Grid assigns people, not teams, and has no work-team rotation. To put a work team’s line judges or scorer on the board, add each person as an official with a phone number or email; they then get the same messages as anyone else.

On the day

When the courts don’t follow the schedule

A court runs behind. Officials see the start time you entered on their link page. Changing a match’s start time sends every official who was sent it the old and new times, so moving six matches back by 20 minutes sends each of them six notices. Telling the officials on that court in person is often simpler.

A match moves to another court. Edit the location and the officials who were sent the match get the old and new court. Officials you had only drafted hear nothing.

Bracket matches before the teams are known. Team names are required, so use placeholders such as “Pool A 1st” and “Pool B 2nd”. Changing team names later sends no notice.

Officials answering. They accept or decline from the link, with no account or app. The page shows your organization, the date, start and end time, the location and court, the teams, the division, their position and the fee. An official who accepts can download an .ics file for that match, and you can switch on reminders, which go only to officials who have accepted.

Limits

What Ref Grid doesn’t do

  • No pools, brackets or match play. Ref Grid doesn’t build the tournament schedule or advance teams. Bring the match list from wherever you build it, by CSV or Excel import.
  • No ratings or certification checks. Nothing stops a new official landing on a top-division match. Keep ratings in your notes on each official, and check your region’s requirements.
  • No auto-assign. You choose every official for every court, and officials can’t claim open matches.
  • No dated availability. Officials can tell you the days and times of day they prefer. Which tournament weekends they can work stays in whatever form you use now.
  • No chasing unanswered assignments. The dashboard counts what is awaiting a reply, and following up is up to you.
